The OolioPay Dashboard is your central hub to track sales, payouts, refunds, and transaction costs. By learning how to use its main features, you’ll have a clear picture of your business performance across any date range.
Dashboard Overview
The dashboard provides an at-a-glance summary of your payments and payouts.
Key Features:
- Summary Data – View overall totals for sales, costs, refunds, and estimated payouts.
- Daily Sales Summary Table – See detailed daily sales breakdowns.
- Bar Chart – Compare sales visually over different time intervals.
Important Terms
- Trading Date:
Sales are grouped into trading days, which run from 5 AM to the next day at 5 AM.
- Payout Date:
The day sales are paid out. Normally, this is the next business day (T+1).
- Sales from Friday, Saturday, and Sunday are typically paid on Monday.
- Sales Channel:
- POS – Payments collected through physical payment terminals.
- Ecom – Payments collected online.
Key Metrics
- Sales Total – The total gross amount processed, including surcharges and tips.
- Sales – The number of transactions processed.
- Cost of Transactions – Merchant Service Fees (MSF) charged per transaction.
- Refunds Total – The total refunded amount.
- Refunds – The number of refunds processed.
- Estimated Payouts – Calculated as: Sales Total – Refunds Total – Cost of Transactions.
Transactions View
The Transactions tab lets you review every payment within a chosen date range. You can filter by different criteria for easier reporting.
Key Fields:
- PSP Reference – Unique ID for each transaction.
- Merchant Reference – Reference provided by the POS (for reconciliation with reports).
- Amount – Gross value, including surcharges and tips.
- Surcharge – Any applied surcharge.
- Tip – Tip amount (if given).
- Settled Amount – Net value after deducting transaction costs.
- Terminal ID – The physical terminal used.
- Payment Method – Visa, Mastercard, EFTPOS, Amex, etc.
Settlements View
The Settlements tab shows payouts that OolioPay has deposited into your bank account.
- Expand the dropdown for each settlement to view:
- Payouts by trading day.
- A breakdown by terminal.
